SKU, UPC and model number: what to send when requesting a quote.
A description like ‘HP laptop 16GB’ is rarely enough in wholesale. Model numbers, SKUs and UPCs help both sides confirm exactly which configuration is being quoted.
1. Model number
The model number identifies a specific version within a product family. It is one of the most important fields because products with nearly identical marketing names can differ in processor, memory, storage, display, keyboard, color or operating system.
2. SKU or part number
A SKU or part number is the identifier used by a manufacturer, distributor or commercial system to distinguish a specific configuration. In B2B purchasing, copying the SKU exactly as shown on the offer reduces the risk of mixing similar variants.
3. UPC or GTIN
A UPC is the numeric barcode identifier used on many consumer products. It can provide a second verification point when names or SKUs are similar. Not every product or market uses the same format, so it should be used alongside the model and SKU rather than as an automatic replacement for them.
4. Why sending all three helps
When available, model + SKU + UPC create a much stronger reference than a free-form product description. This is especially useful for laptops, monitors, TVs, consoles and accessories, where one product family can contain multiple configurations and regional variants.
5. What else to include in the inquiry
- Brand and commercial product name.
- Required quantity.
- Destination country.
- Any important requirement: color, memory, storage, keyboard, connectivity or specific version.
- Target timing or urgency, if applicable.
Example of a clear request
‘Looking for 200 units. Brand: ____. Model: ____. SKU: ____. UPC: ____. Destination: Panama. Please confirm availability, exact specification and commercial terms.’
Simple rule
If a characteristic can change the product’s value or compatibility, do not leave it implied. Identify it before approving the purchase.
